What is an AI Chief of Staff - and why does every business need one?
An AI Chief of Staff manages the operational layer of your business: communications, follow-ups, scheduling and outbound calls, from the chat apps you already use.
An AI Chief of Staff is an AI system that manages the operational layer of a business - handling communications, follow-ups, scheduling, outbound calls, and coordination - so the business owner or executive can focus on decisions rather than administration. It works inside the messaging apps you already use.
What is an AI Chief of Staff?
The term Chief of Staff comes from executive leadership. A human Chief of Staff manages the operational functions that would otherwise consume the executive's time: filtering communications, coordinating across departments, managing follow-up cadences, preparing briefings, and ensuring decisions translate into completed actions.
An AI Chief of Staff takes on much of the same work, without the salary, onboarding period, or management overhead. It operates through the messaging tools you already use, takes action on your behalf based on instructions you give in natural language, and keeps notes on your preferences, people and commitments, shared across your private chats with it in each app you link.
Cole by Pocodot is a messaging-native AI Chief of Staff. You add it to WhatsApp, iMessage, Telegram, LINE and Slack, including group chats, and it also does email and phone calls. It handles reminders, email, calendar, research and phone calls.
Human Chief of Staff vs AI Chief of Staff
What an AI Chief of Staff handles day to day
Communications management
After you connect Gmail or Outlook, you brief Cole with the intent and key points, and Cole drafts the email. It asks before anything goes out in your name. Cole does not message other people on WhatsApp for you; those messages still go from your own phone.
Follow-ups
Ask Cole to remind you to follow up with a lead, client, supplier or partner, and it posts the reminder at the time you set, once or on a daily or weekly schedule. It can draft the follow-up email for you to confirm, or, on a paid plan, call the contact after confirming the number and purpose with you.
Outbound phone calls
On paid plans, Cole calls numbers you ask for in the United States, the United Kingdom and Thailand. You provide the contact, the purpose, and any relevant context. Cole confirms the number and purpose with you before dialling, makes the call, and saves a summary and transcript to Call History.
Scheduling and calendar coordination
After you connect Google Calendar or Outlook, Cole puts meetings on your calendar. It posts reminders at the time you set, in your private chat or in a group it is in.
Research and pre-meeting briefings
Ask Cole before a meeting or call and it can prepare a briefing: what you told it before, what is pending, and what it can find through research or in the apps you connect. Cole's cross-channel memory means notes from your private chats with Cole in any linked app can go into the briefing; each group keeps its own notes.
Industry-specific workflows
You can connect apps from the integrations catalog and ask Cole to use them, set recurring reminders, or ask for a scheduled summary or report. An insurance broker might set a weekly reminder to chase renewals. An ecommerce operator might ask Cole to draft supplier emails.
